Built for the way you hire
Go beyond a list of equipment
An equipment list tells you what you own. A hire record needs to tell you who has it, how much is out and what is due back. DepotEase is simple hire software for independent UK tool and light-plant businesses, using UK hire terminology and a quantity-based approach to equipment rental.
01
Turn equipment quantities into availability
Maintain equipment records and check the quantity available across requested dates. Availability takes the hire position into account, helping you distinguish equipment you own from equipment you can offer for a booking.
02
Link rental activity to a customer
Choose the customer when you create a hire and keep the selected equipment, quantities and dates in that record. You can follow the job through hand-out and return without maintaining a separate customer list for each stage.
03
Finish with a usable invoice
After the hire is returned, create an invoice using the hire details. Download the PDF or email it to the customer. Keep the invoice alongside the operational record instead of rebuilding the job from a separate list.
From equipment to invoice
The day-to-day hire workflow, together
Keep the essentials connected, from checking a quantity to recording the final return.
Equipment availability
Check quantities against hire dates before booking. See the difference between total stock and equipment available for hire.
Customer records
Keep customer details in the same workspace and select the customer when creating a hire.
Bookings and hires
Record equipment, quantities and dates. Follow the hire from booked to on hire, then through its return.
Hand-out and return
Record equipment leaving the depot and coming back. Partial returns leave the remaining quantity outstanding.
Damaged returns and photos
Record return condition and attach photos to the return. Damaged units are not counted as available equipment.
Invoices and PDFs
Create an invoice from a returned hire, then download or email the PDF. VAT follows your business's VAT configuration.
Staff access
Work with up to 3 users. Staff can help with day-to-day hire tasks, while billing and subscription controls remain Owner-only.
Is equipment rental software the same as hire software?
On DepotEase these terms describe the same core workflow: equipment, customers, availability, booking, hand-out, return and invoice. The product uses hire terminology for its independent UK tool and light-plant audience.
Is DepotEase designed for every type of rental business?
Its intended fit is tool and light-plant hire, with quantity-based equipment and one depot. If you have a different rental model, use the free trial to assess the workflow rather than assuming specialist processes are included.
Can the team see equipment availability?
Yes. Owner and Staff access let the team work with the hire workflow. Staff can view equipment and carry out operational tasks, while equipment management and subscription controls remain restricted to Owners.
Does it support non-VAT businesses and PDF invoices?
Yes. Invoice VAT follows the business's VAT configuration, with no VAT added for a non-VAT business. You can download a PDF invoice or email it after issuing it.
What is included in the monthly plan?
The £49/month plan covers one depot and up to 3 users, with the equipment-to-invoice hire workflow. The 14-day free trial requires no card.
