Start with the customer and availability

Add or select the customer, check equipment availability for the dates and create the booking. Keep quantities and hire details together so the next person handling the job has the record to work from.

Follow the hire through its working states

Distinguish a booked hire from equipment already on hire. Record hand-out, then record returns as they happen. If only part of the quantity returns, the remaining units stay outstanding instead of the whole hire appearing finished.

Keep operational and Owner access separate

Invite Staff to help with customers, hires and returns within the plan's user limit. Owners manage the business's equipment and subscription settings; Staff do not receive billing controls.

Which stages of hire management does DepotEase cover?

The core sequence is equipment, customer, availability, booking, hand-out, return and invoice. You can record partial returns, damaged returns and photos, then generate a PDF invoice from a returned hire.

How do I know a hire is finished?

A partial return leaves unreturned units outstanding. Once all hired units have been returned, the hire reaches its returned state and can be used to create an invoice.

Can my staff use it without accessing subscription settings?

Yes. Staff can perform the operational tasks allowed by their role, without Owner-only billing and subscription controls. The £49/month plan supports one depot and up to 3 users.

Can I manage more than one depot?

The current plan is for one depot, set up as Main Depot. These pages do not offer a multi-depot plan.

How do I start the free trial?

Create an account, verify your email and complete business setup to start the original 14-day trial. No card is required. Add equipment and a customer, then try a hire through to its return and invoice before choosing whether to subscribe.
