Built for the way you hire

Know what you can promise at the counter

A customer needs two tools for a job. Before confirming the hire, you need the dates, the available quantity and a clear record of who is taking them. DepotEase is simple hire software for independent UK tool and light-plant businesses, with a quantity-based workflow for everyday hire work.

Check dates and quantities together

Check equipment availability for the requested hire dates before booking. Keep booked quantities, equipment already on hire and units unavailable through damage in view, rather than treating everything in your equipment list as ready to go.

Keep the customer with the hire

Create a customer record, then select that customer when booking tools out. The hire holds the equipment, quantities and dates together, so a colleague can follow the job when the customer comes back.

Handle tools coming back separately

Record a partial return when only some units come back. Keep the remaining quantity outstanding, record the condition of returned equipment and attach return photos where needed before finishing the hire.

From equipment to invoice

The day-to-day hire workflow, together

Keep the essentials connected, from checking a quantity to recording the final return.

Equipment availability

Check quantities against hire dates before booking. See the difference between total stock and equipment available for hire.

Customer records

Keep customer details in the same workspace and select the customer when creating a hire.

Bookings and hires

Record equipment, quantities and dates. Follow the hire from booked to on hire, then through its return.

Hand-out and return

Record equipment leaving the depot and coming back. Partial returns leave the remaining quantity outstanding.

Damaged returns and photos

Record return condition and attach photos to the return. Damaged units are not counted as available equipment.

Invoices and PDFs

Create an invoice from a returned hire, then download or email the PDF. VAT follows your business's VAT configuration.

Staff access

Work with up to 3 users. Staff can help with day-to-day hire tasks, while billing and subscription controls remain Owner-only.
