What should you record when equipment goes out on hire?
Record the exact equipment identity, accessories and attachments, visible condition and existing damage before handover. Add fuel or charge levels, meter readings and photo references where relevant, then obtain handover acknowledgement where appropriate.
Recording these details before the equipment leaves gives the hire business and customer a clearer reference point when it comes back.

What should you check when equipment comes back?
Record whether it is a full or partial return, the quantities received and anything still outstanding. Compare accessories against the outbound record, identify missing items, and note condition changes, new damage and cleanliness.
Add return fuel or charge levels, hour or mileage readings, photo references and follow-up notes where relevant. Obvious issues may need further inspection or assessment under your normal business procedures.
Why record condition and photos?
Written condition notes are useful, but photographs can provide a clearer record of visible marks, damage, accessories and return condition.
Use consistent photo references so images can be matched to the correct hire and equipment item. Keep the images in your own records alongside this equipment condition checklist.
